My account is not available in iLab

There are multiple reasons why it not might be available:

  • The account balance is zero or negative.
    • Resolution: bring the account balance positive.
  • You are not the owner of the account in FAMIS.
    • Resolution: request to be owner of the account or create sub-accounts to split the money between all the PIs. Your departmental billing office would assist with these requests.

Why am I receiving an email invoice/receipt?

Invoice/Receipts are sent to the account owner, responsible accountant and departmental billing office for the account.

External Customer needs purchase order number on invoice

If an external customer needs a purchase order number to be displayed on an invoice the PO Number needs to be entered in the specified format that follows.

TAMU Customer Number (13 digits) with PO Number

Format: TAMU Customer Number|PO Number

A PO Number may contain any type of character and be of any length

 

If a PO Number is not required by the external customer that is being billed only a TAMU Customer Number (13 digits) is required to be entered in the PO Number field.

How do I know a billing event successfully processed?

A summary of all successful transactions including links to invoice/receipts generated is sent the day TAMU receives billing event.

 

Why are some transactions missing from the daily transaction summary?

Missing transactions may not be available because:

  • The customer number is not authorized for transactions in your system part.
    • Resolution: Does not require action on your part and will be resolved by the system billing office for your system member institution. Generally issues such as these are resolved within 1-2 business days.
  • The expense object code is invalid on a line item in the transaction for the expense account.
    • Resolution: Does not require action on your part and will be resolved by the responsible accountant who is notified by email of this issue. The responsible accountant will provide remediating instructions to the DOR that will release the transaction to FAMIS.

 

How can I view historical invoice/receipts?

Designated billing managers for a core will have access to https://invoice.dor.tamu.edu where all historical billing information can be viewed.

 

I am receiving notifications about missing responsible accountants. Why am I receiving them and do they affect billing?

When an account is used for a transaction the responsible accountant, which is set in FAMIS, is notified of the transaction. If there is no responsible accountant assigned or the UIN provided is invalid, a warning notification is sent to the billing managers of the core. They may choose to notify the appropriate party of this issue. The transaction is not held and is processed normally.

 

Once I send a billing event to TAMU how long until transactions post to FAMIS?

Transactions which are not held are posted to FAMIS one business day after receipt by TAMU.

    • Tuesday morning - received by TAMU
    • Tuesday morning - Transaction summary sent
    • Tuesday evening - Posted to FAMIS
    • Wednesday morning - Invoices/Receipts notifications sent
  • Thursday - send to TAMU
    • Friday morning - received by TAMU
    • Friday morning - Transaction summary sent
    • Friday evening - Posted to FAMIS
    • Saturday morning - Invoices/Receipts notifications sent
  • Friday - send to TAMU
    • Saturday morning - received by TAMU
    • Saturday morning - Transaction summary sent
    • Monday evening - Posted to FAMIS
    • Tuesday morning - Invoices/Receipts notifications sent
